What the AI Assistant does

The AI Assistant is like an assistant who understands your warehouse business: ask in plain language and it can check stock, review sales, suggest restocking, and even read the Excel/PDF/images you upload. The first time, you enter an LLM API Key (your own AI account); after that you can chat anytime.

Step 1: Configure AI (required first time)

Path: Left Menu → AI Assistant → settings gear ⚙ (top right)

The assistant uses your own LLM account, so you configure it once. It is remembered afterwards.

Open the AI Assistant

Click ‘AI Assistant’ in the left menu to open the chat page.

Open settings

Click the gear icon ⚙ at the top right to open the config dialog.

Pick an AI provider

Under ‘Platform Config’, choose a provider (e.g. Tongyi Qianwen, DeepSeek, Zhipu); the endpoint is filled in for you.

Enter your API Key

Paste the API Key you obtained from that provider. It is your own AI key — FlashWare neither provides nor charges for it.

Confirm the model

Set the ‘Model’ name (e.g. qwen-plus). To let the AI read images, use a vision model (e.g. qwen-vl-max).

Save

Click Save. Once it succeeds, you can start chatting.

Tip

Your API Key is stored only under your own account; any AI usage is billed by the provider you chose, not by FlashWare. Not sure where to get a key? Contact us for help.

Type your question

Type a plain-language question in the input box at the bottom.

Send

Click the round send button on the right of the input box.

Watch it work

The AI thinks and reads your business data (stock, bills, finance) as needed, shown as small cards, then answers.

Follow up

Keep asking — the AI remembers the context, no need to repeat.

Manage chats

‘New chat’ (top left) starts a new topic; click a past chat to switch; delete with the trash icon.

Try asking

  • Which products are low on stock this month? Give restock suggestions
  • Show this week's revenue and order count
  • Which supplier do I owe the most?
  • What is my total inventory value right now?

Upload files for the AI to analyze

You can send spreadsheets, documents and images for the AI to read and summarize.

Click the attach button

Click the paperclip icon 📎 on the left of the input box.

Choose a file

Pick a file: Excel(.xlsx/.xls), CSV, PDF, Word(.docx), TXT/Markdown, or images (invoices, product photos).

Wait for upload

The file shows upload progress; 100% means it has been read (a thumbnail/icon appears by the name).

Ask your question

Ask about the file, e.g. ‘summarize this stock sheet and point out low-stock items’.

Send

The AI answers using the file's content.

Supported file types

  • Spreadsheets: Excel(.xlsx/.xls), CSV
  • Documents: PDF, Word(.docx), TXT, Markdown
  • Images: invoices, product photos, screenshots

To have the AI ‘see’ images (e.g. invoices), switch the model to a vision model (e.g. qwen-vl-max) in settings; if you upload an image while using a text-only model, the page warns you and recommends a vision model. Spreadsheets and documents work with any model.

Business profile & rules (more tailored answers)

Path: AI Assistant → settings ⚙ → Business Profile / Rules

Fill in your company info and rules so answers fit your business.

Fill the business profile

In settings, go to ‘Business Profile’ and enter company name, industry, main business and common terms; save.

Add business rules

Go to ‘Business Rules’ and add your rules/SOPs (e.g. ‘purchases over 10k need manager approval’); when enabled, the AI follows them.
